How to Write a Simple, Short & Professional Resignation

You can write a simple, short, and professional resignation letter. Depending on the organizational structure, most resignation letters are directed to the manager. You need to know how to write a resignation letter with immediate effect. You can send resignation letters physically or by email.

If you write a respectful resignation letter, you’ll leave the employer with the impression that your reason for leaving is personal and not due to work conditions.

You have to show professionalism by thanking the company for allowing you to work with them and gain more skills that will be beneficial to you in your career. You can also mention that they have taught you many things which have benefited you in your other jobs. Don’t forget to conclude by thanking them by saying it was a pleasure working for them.

How to Write a Simple and Short Resignation Letter

Every professional resignation letter should be respectful, regardless of whether you have a good working relationship with your co-workers and the company management.  A resignation letter shouldn’t be used to scold, correct, or tell the company how badly they treated you.

A professional and respectful resignation letter should be short. Tell the company your reasons for resigning and how you’ll miss them. Thank the company for the opportunity they gave you and let them know it was an honor working for them. Also don’t forget to thank people who mentored you and helped you in your career development.

A resignation letter seasoned with grace can spice up your career. A misstep in your resignation can lead to missed benefits and negative references for your future employers. Below are the steps for writing a professional resignation letter;

  • Address the Letter

This is the first step. Address the letter to either the manager or the supervisor as the case may be. You need to use professional and respectful salutations like “Dear [Manager/Supervisor].

  • Clearly State Your Intention

You need to state your reason for resignation in your opening paragraph. You have to go straight to the point and don’t beat around the bush. No need for too many words.

If your resignation is immediate, let them know the date you wish to stop work.  For example, if you are resigning next month you can say “I am resigning my position as the manager of [company name] effective 14th of December 2024”

  • Express Gratitude

It’s good to express gratitude during resignation. You need to let them know you’re grateful for the opportunity they have given you. You can include all the positive aspects of the job while expressing gratitude

“I want to use this opportunity to express my gratitude for the experiences and career growth I’ve gained during my time at [company name]. I appreciate all the support you and the team gave me”

  • Provide a Reason (Optional)

this is optional because you can resign without giving any reason. But if you must give a reason, let your reason(s) be brief and positive. You have to be professional by avoiding any negative reasons.

“Recently, I accepted a new opportunity that aligns with my career goals and allows me to further develop my skills.”

  • Offer to Assist in the Transition

You can express your desire to help in the transition process by helping to train, and arrange your work, and make sure the handover process is seamless.

“I want to express my willingness to help in a seamless transition process during my remaining days here. I’m willing to assist in training my replacement”

  • Close Professionally

Close the letter by thanking your employer, appreciate them, and wish them well for the future.

“Thank you once again for the opportunity to be a part of [Company Name]. I wish the company continued success, and I hope our paths may cross again in the future.”

  • Provide Contact Information

Providing your contact information is advisable. You need to provide it in case they need to reach you in the future.

  • Format and Proofread

You need to read again to ensure there are no grammatical errors and that all words are spelled correctly.

Take note of the fact that the goal is always to leave on a positive note. Maintaining a good relationship with your former employer is a plus in your career. It’s advisable to have a face-to-face discussion with the manager or supervisor before or after you’ve submitted your letter for discussion and answer some vital questions he may ask you.
